FFAF CARGO
Reports To: Operations Supervisor
Purpose of Position:
As we continue to expand, we seek a knowledgeable and experienced Freight
Forwarding Coordinator to manage our Air Import and Export shipments. The core
purpose of this role is to facilitate all aspects of our freight forwarding operations,
ensuring smooth and efficient processes.
Facility Location:
2360 Bristol Circle 4th Floor, Oakville
Key Accountabilities & Responsibilities:
Import Operations:
- Coordinate and manage air import shipments: entry into the CargoWise system,
documentation collection, payment submissions to terminals etc. - Arrange and track delivery of shipments.
- Adhere to customers’ standard operating procedures and proactively notify
customers of any issues. - Prepare and distribute Cargo Status Reports.
- Understand and manage the customs process (eManifest, ACI, AMS/ISF).
- Coordinate air and truck forwarding moves.
- Arrange freight payments and deliveries for COD customers.
- Confirm shipment release and, in certain cases, notify the appropriate parties or
arrange for delivery. - Follow up on deliveries, advise clients as necessary, and obtain proof of delivery
(PODs). - Review and approve vendor/agent debit/credit notes.
- This role may require working on weekends and performing other duties as needed
Export Operations:
- Coordinate booking requests with airlines.
- Manage air and truck forwarding moves.
- Arrange freight payments and pick-ups for COD customers.
- Prepare CERS and other necessary documentation.
- Create all export documents (AWB/MBL, HAWB/HBL).
- Follow up on deliveries at destination, advise clients as necessary, and obtain
proof of delivery (PODs). - Review and approve vendor/agent debit/credit notes.
- This role may require working on weekends and performing other duties as needed.
- Collaborate with team members and other departments to meet customer
service commitments.
Qualifications:
- 3-5 years of experience in a similar role.
- Strong knowledge of Air freight operation, documentation, and Customs
Regulations. - Experience with CargoWise Systems is a plus.
- Excellent communication skills (both oral and written).
- Strong interpersonal skills and the ability to work well with all levels of
management and support staff. - Capability to manage high-pressure situations calmly.
- Proficient in Microsoft Office.
- Exceptional time management and organizational skills, with the ability to
prioritize tasks. - A team player with a positive attitude and strong work ethic.
- Proactive, self-motivated individual.
- Good working knowledge of airlines and geographical region coverage.
- Familiarity with Incoterms.
Compensation & Benefits:
- Salary is negotiable and will be commensurate with the experience and scope
of the role.
